• Organizer Information: When you create an account, we collect personal data such as your name, email address, phone number, billing information, and company/organization details.
• Attendee Data: Organizers may upload attendee information (e.g., names, email addresses, phone numbers, seating/role data) into GateScan to generate QR passes. GateScan acts as a data processor for this information.
• Scanning & Usage Data: We collect data regarding check-in times, gate entry locations, ticket validation status (e.g., valid, duplicate), device types used for scanning, and general platform usage analytics.

3. How We Use Your Information

We use information that we collect about you or that you provide to us to:

• Provide, maintain, and improve our Services, including generating passes and authenticating check-ins.
• Provide you with real-time analytics and attendance dashboards.
• Process your requests, purchases, transactions, and payments.
• Communicate with you regarding your account, technical notices, security alerts, and administrative messages.
• Detect, prevent, and address fraud, technical issues, and security breaches.

4. Data Sharing and Disclosure

We do not sell your personal data or your attendees' data to third parties. We may share information only under the following circumstances:

• With Organizers: Attendee scan data and check-in times are accessible by the respective Event Organizer or Institution managing the entry point.
• Service Providers: We may share data with trusted third-party vendors who provide cloud hosting, database management, and payment processing, strictly bound by confidentiality agreements.
• Legal Requirements: We may disclose information if required to do so by law, court order, or government regulation, or to protect the rights, property, or safety of GateScan, our users, or others.

5. Data Security

We have implemented measures designed to secure your personal information from accidental loss and from unauthorized access, use, alteration, and disclosure. All information you provide to us is stored on our secure servers behind firewalls. All data in transit and at rest is protected using AES-256 encryption. Our offline-first mode securely caches necessary validation data locally on the scanning device and automatically syncs it once connectivity is restored.

6. Data Retention

We retain personal information we collect from you where we have an ongoing legitimate business need to do so (for example, to provide you with a service you have requested or to comply with applicable legal, tax, or accounting requirements). Attendee data uploaded by Organizers is retained according to the Organizer's instructions or our standard data deletion protocols after an event concludes.

Depending on your location (including rights under the DPDP Act of India), you may have the following data protection rights:

• The right to access, update, or delete the information we have on you.
• The right of rectification if your information is inaccurate or incomplete.

If you are an attendee at an event using GateScan, please contact the Event Organizer directly to exercise your data rights, as they are the Data Controller of your information.

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date at the top of this document. We may also notify you via email or a prominent notice on our Service prior to the change becoming effective.
