Refund & Cancellation Policy

1. General Overview
At GateScan ("Mediadost Ads Solutions OPC Pvt. Ltd.", "we", "us", or "our"), we strive to deliver the highest quality software for your event entry and access management needs. We believe in transparent billing and fair policies. This Refund and Cancellation Policy outlines the rules and procedures for requesting refunds and cancelling your GateScan services.
2. Per-Event Billing Plans
If you have purchased a single-event license or a "pay-per-event" package, the following rules apply:
- Cancellation before usage: You may cancel your event purchase and request a full refund up to 48 hours before the scheduled start date of your event, provided no QR passes have been generated or dispatched.
- After generation: Once you have utilized the platform to generate, email, or print QR passes for your attendees, the service is considered "delivered" and the purchase is strictly non-refundable.
- Post-Event: No refunds will be provided after the event start date has passed, regardless of how many passes were scanned or if the platform was utilized at the gates.
3. Subscription & Agency Licenses
For clients using GateScan under a recurring monthly or annual subscription (e.g., Agency License, Corporate / Institution plans):
- Cancellations: You may cancel your subscription at any time through your billing dashboard or by contacting our support team. Cancellation will stop all future recurring charges.
- Prorated Refunds: We do not offer prorated refunds for mid-cycle cancellations. If you cancel your subscription before the end of the current billing cycle, you will retain access to the platform until the end of that billing period.
- Annual Plan Grace Period: If you purchase an annual subscription and find it does not meet your needs, you may request a full refund within the first 7 days of the initial purchase, provided you have not hosted any live events using the platform during that time.
4. Custom Setup & Onboarding Fees
Any custom development, API integration services, dedicated account manager fees, or on-ground support fees are non-refundable once the service or development work has commenced.
5. How to Request a Refund or Cancellation
To initiate a cancellation or request a refund, please follow these steps:
- Send an email to support@gatescan.in from the email address registered with your GateScan account.
- Include your Order ID, Organization Name, and a brief explanation of why you are requesting a refund.
- Our billing team will review your request within 24-48 business hours to determine your eligibility based on this policy.
6. Processing of Refunds
If your refund request is approved, the refund will be processed back to your original method of payment. Please note that it may take 5 to 7 business days for the credited amount to reflect in your bank account or credit card statement, depending on your financial institution.
7. Chargebacks and Disputes
If you have a billing issue, we strongly encourage you to contact our support team first before opening a dispute or chargeback with your bank or credit card provider. Fraudulent chargebacks or disputes may result in the immediate and permanent suspension of your GateScan account and related services.
